Amsterdam, June 5, 2025 – proTechnicale, an initiative of SOPHIA.T gGmbH, is dedicated to increasing diversity by empowering women in Science, Technology, Engineering and Mathematics (STEM) through holistic educational programs that introduce them to technical studies and careers. Every year, female high school students and graduates from Germany and beyond apply for the five-month hybrid “proTechnicale School” program and the gap year “proTechnicale Classic”. However, managing the high volume of applications – each requiring a multistep process involving a questionnaire, the submission of various documents, and scheduling interviews – was a cumbersome process with Excel spreadsheets and disparate databases.
Given the increasing volume of data, the lack of a reliable customer relationship management system (CRM) made it difficult for proTechnicale to manage and update its contact and organizational databases, which are critical to its training programs. Also, relying on manual processes increased the risk of human error and data duplication while also being time-consuming. Additionally, updating candidate status and generating reports was labor-intensive, as information had to be aggregated from various sources, which affected the organization’s overall effectiveness.
In support of female empowerment in the STEM area, BearingPoint facilitated the reorganization of the candidate selection process for proTechnicale. The project team carried out a business analysis to identify the key pain points in data collection and use processes. The next step was redesigning the process and implementing Salesforce’s Sales Cloud with the Nonprofit Success Pack (NPSP) for program management. BearingPoint then configured the new system with permissions, security standards, and roles, thus implementing the entire process.
In addition, new data quality requirements were developed while existing data was cleansed, standardized, and migrated by BearingPoint to the Salesforce-ready environment. As a result, the student journey from first contact to application and then graduation was redefined so that all information about schools, teachers, graduates, and new applicants was centralized in the new CRM ecosystem. During several training sessions, BearingPoint ensured that proTechnicale representatives were introduced to the Salesforce Cloud architecture with NPSP best practices.
The collaboration with proTechnicale was a fantastic opportunity for us to leverage our expertise in digital transformation and make a positive contribution to promoting women in STEM careers. By implementing the Salesforce solution, we were able to significantly enhance the efficiency and transparency of the application process, thereby laying the foundation for a sustainable and successful educational initiative.

By implementing the Salesforce environment, proTechnicale significantly enhanced the management of its educational programs. The organization can now access real-time information on candidates and monitor application stages while maintaining an overview of each program’s status. Additionally, data-driven reports allow proTechnicale to assess initiative outcomes and make decisions based on evidence. These enhancements have a positive effect on overall efficiency and have resulted in significant time savings.
The proTechnicale team is now better equipped to manage their contact and organization databases, automate and streamline various processes, and put their educational programs more effectively into practice. This empowerment has allowed the organization to better support young women in STEM fields, ensuring they can continue to exite and enhance their educational offerings in the future. Furthermore, the implementation of Salesforce has expanded proTechnicale’s knowledge base on effective process management and Salesforce configuration, empowering them to continuously enhance processes and their Salesforce platform.
Implementing Salesforce has been a game-changer for proTechnicale, allowing us to streamline our participant management from the very first contact to full enrollment.
